Records Management Analysts play a critical role in helping the Department of National Defence manage and protect its information assets. You will be responsible for developing, implementing, and maintaining records management systems and practices that ensure government information is organized, accessible, and preserved according to legal and regulatory requirements. Your work directly supports DND's operational effectiveness by ensuring that decision-makers have reliable access to the information they need.
In this role, you will work with various departments and teams across DND to establish records management policies, procedures, and standards. Your responsibilities include assessing information management needs, designing filing systems and retention schedules, providing training and guidance to staff, and ensuring compliance with the Library and Archives Canada Act, the Access to Information Act, and Treasury Board directives. You will also monitor trends in information management technology and recommend improvements to systems and processes.
Records Management Analysts typically work in office environments at DND headquarters or regional offices. You will collaborate with colleagues in information technology, legal services, and operational departments. The role offers a stable career with opportunities to influence how the organization manages one of its most valuable resources—information.

Training
Most positions require a secondary school diploma or equivalent as a minimum. Many successful candidates hold a college diploma or university degree in business administration, library science, information management, or a related field. While not always required, post-secondary education in information management, records management, or business administration significantly strengthens your candidacy.
Professional certifications can enhance your career prospects. The Information Systems Professionals Association (ISPA) and the Association of Canadian Archivists offer credentials in records and information management. The Institute of Certified Records Managers (ICRM) offers the Certified Records Manager (CRM) designation, which is recognized across Canada and internationally.
Once hired, DND provides on-the-job training and may offer access to professional development programs through the Public Service Learning Portal and Treasury Board initiatives. You will have opportunities to develop expertise in government information management systems, federal compliance requirements, and emerging technologies such as digital asset management and data governance.
Entry Plans
You can enter this career through several pathways in the federal Public Service. The most common route is through open competition job postings on the Government of Canada's job board (jobs.gc.ca), where positions are advertised to both internal and external candidates. DND regularly posts Records Management Analyst positions at different classification levels.
If you are already a Government of Canada employee, you may apply as an internal candidate, which can streamline the selection process. Some positions may be filled through staffing pools—groups of pre-screened candidates from previous competitions who can be appointed without a new competition.
Students and recent graduates should watch for co-op and student summer employment programs offered by DND. These positions provide valuable experience and can lead to casual or term employment, which may progress to permanent positions. Career transition assistance programs are also available for Canadian Armed Forces members and other federal employees seeking to move into civilian roles.
Lateral moves from related positions in other government departments—such as other information management roles, library services, or administrative positions—are common. If you hold a similar position elsewhere in the Public Service, you may be able to transfer your experience to an equivalent or higher-level role at DND.
Part-Time Options
Records Management Analyst positions at DND are typically full-time permanent or term positions; however, flexible work arrangements are increasingly available. Many DND offices support flexible hours, allowing you to adjust your start and end times while maintaining core hours for team collaboration.
Remote work options have expanded across the Public Service. Depending on your specific assignment and DND's operational needs, you may be able to work from home for part of your week or full-time, particularly for analytical and policy development work. The extent of remote work flexibility will depend on your team's requirements and approval from your manager.
Part-time and job-sharing arrangements may be available in some cases, particularly for experienced professionals or those transitioning back to the workforce. You are encouraged to discuss flexible work options during the interview process or after appointment. DND is committed to work-life balance and accommodating diverse workforce needs within operational requirements.
