Overview

Organization and Classification Assistants support the human resources management function within the Department of National Defence and the Canadian Armed Forces. In this role, you will assist in analyzing organizational structures, managing classification files, and ensuring that positions are properly classified according to Treasury Board standards and departmental policies. You will work with managers, human resources professionals, and employees to maintain accurate and up-to-date organizational documentation. Your day-to-day responsibilities include preparing organizational charts, reviewing classification questionnaires, conducting research on comparable positions, and maintaining records related to job classification and organizational changes. You will communicate with various stakeholders across the department to gather information, clarify requirements, and support the implementation of organizational decisions. This role requires attention to detail, strong organizational skills, and the ability to work with complex human resources systems and policies. Organization and Classification Assistants typically work in human resources offices at DND headquarters, regional headquarters, or larger formation offices. The work environment is collaborative, with regular interaction with HR specialists, managers, and other support staff. You will spend time at a desk working with classification databases and documentation, while also meeting with clients to discuss organizational and classification matters.

Training

Most candidates have completed secondary school, with many holding college or university credentials in business administration, human resources, or a related field. On-the-job training will introduce you to Treasury Board classification standards, DND organizational policies, and relevant human resources systems. The department supports professional development through access to classification resources, HR policy training, and opportunities to pursue certifications such as those offered by the Canadian Public Personnel Management Association (CPPMA). As you progress, you may have opportunities to complete specialized training in human resources classification methodologies and advanced organizational analysis.

Entry Plans

You can enter this career through several pathways within the federal Public Service. The primary method is through advertised competitions for the Personnel Clerks (NOC 2021) classification, open to Canadian citizens and permanent residents. These competitions may be departmental, regional, or government-wide depending on staffing needs. You may also enter through the Public Service Youth Employment Program (PSYEP) if you meet the eligibility criteria, or through lateral movement if you currently hold another clerical or administrative position in the federal Public Service. Some opportunities exist to start as a casual or term employee and transition to a permanent position. DND also accepts applications from students interested in co-op or student employment programs that can lead to permanent opportunities upon graduation.

Part-Time Options

Part-time and flexible work arrangements are often available in this role, depending on operational requirements and manager approval. Many Organization and Classification Assistants work full-time hours (37.5 hours per week), but some positions may be structured as part-time with reduced hours. Remote work options have expanded across the federal Public Service and may be available for portions of your work, particularly when working with databases and documentation. However, some tasks may require in-person presence at the office for meetings with stakeholders and access to certain HR systems.
