Overview

Library Assistants support the organization, management, and delivery of information resources within Department of National Defence facilities and operations. You will work alongside librarians and information specialists to ensure that military personnel, civilians, and researchers have access to the information and materials they need. This role is essential to maintaining knowledge management systems, cataloguing collections, and supporting library operations across DND locations. In this position, you'll handle a variety of tasks including processing and organizing library materials, assisting patrons with information requests, maintaining digital and physical collections, and providing general library support services. You may work in base libraries, archives, information centres, or specialized military libraries. Your work directly contributes to the operational effectiveness of DND by ensuring critical information is accessible, well-organized, and properly maintained. Library Assistants work in a professional environment that values accuracy, attention to detail, and customer service. You'll interact with diverse users ranging from military personnel to civilian staff, and collaborate with information management teams. This role offers the opportunity to develop expertise in information organization, library systems, and knowledge management while supporting the Department's mission.

Training

To qualify as a Library Assistant, you typically need a high school diploma or equivalent. Some positions may prefer or require completion of a library technician or information management program from a recognized post-secondary institution. Government of Canada training includes orientation to DND operations, library management systems, records management, information security protocols, and customer service standards. Once hired, you'll receive on-the-job training in library-specific software, cataloguing systems (such as Library of Congress Classification), and departmental procedures. The Canadian Armed Forces and DND support continuous professional development, including courses in information management, advanced library systems, and leadership skills. Many Library Assistants pursue professional certifications through organizations like Library, Archives and Museum Professionals in Canada (LAMPC) or complete library technician credentials while working. Training in security clearance procedures and classified document handling is also provided as needed for your assignment.

There are several pathways to become a Library Assistant in the federal Public Service. The primary route is through a public competition or staffing process conducted by DND's Human Resources department. Part-Time Options

Library Assistant positions in DND typically offer flexible scheduling options. Many base and unit libraries operate on schedules that may include part-time, full-time, or job-share arrangements depending on operational needs and location. Some positions accommodate shift work to ensure library services remain available during extended hours. Remote work options are limited for this role, as Library Assistants generally need to be present to manage physical collections, assist patrons in person, and maintain library facilities. However, some administrative or cataloguing tasks may be completed remotely depending on your assignment and DND's operational requirements. Flexible work arrangements, such as flexible hours or compressed work weeks, may be available and are typically negotiated with your supervisor and Human Resources. Part-time opportunities are more common at larger bases and in major urban centres where multiple library locations operate.
